That integration between event registration and hotel booking is a key advantage. If you've guaranteed a hotel 100 rooms over three nights and you're only booked for 70, you can see that shortfall in real time and take action: send reminder emails to registered attendees, adjust your rates to encourage more bookings, or reach out to the hotel to discuss the pickup situation before the deadline passes.

Passkey also includes an AI-powered Rooming List Assistant, which automates what used to be a manual, spreadsheet-intensive task. After bookings close, organizers traditionally had to download attendee room selections from the hotel booking system, organize them by room, match roommates, and create a rooming list to share back with the hotel. That's error-prone and tedious. The Rooming List Assistant ingests the booking data and automatically organizes it into room assignments, flagging conflicts and allowing you to make adjustments before sending the final list to the hotel. The hotel receives a clean, organized rooming list rather than a chaotic export, which reduces check-in confusion and mistakes.

Email marketing features within Passkey let you send branded, customized communications to registered attendees: initial announcement of the hotel options, reminders as booking deadlines approach, confirmation emails after they've booked, and post-event follow-ups. One limitation is that Cvent's room block management sits within a much larger event management platform. If you're already using Cvent's registration and venue coordination tools, Passkey shares attendee and room block data with them directly, so nothing has to be re-entered by hand. But if you're coming to Cvent only for hotel room block management and you're using a different event registration system, the integration isn't automatic, and you may find that Passkey is designed to work best when combined with Cvent's full suite. Additionally, Passkey focuses on managing room blocks after negotiation; it doesn't inherently handle the sourcing and RFP process of finding and bidding hotels in the first place (though Cvent does offer sourcing and RFP tools for venues and vendors, which are separate features). If you need a platform that combines hotel sourcing, RFP management, and attendee booking in one flow, you'd need multiple Cvent modules rather than just Passkey.
