Engine

Tap a star to rate

Engine differentiates itself through a straightforward business model: the platform is free to join and free to use. There are no membership fees, no per-booking charges, no contracts, and no minimum spending requirements. Instead, Engine makes money through commissions from travel suppliers, a model familiar to travel agents and online travel agencies but less common in the corporate travel space where per-seat subscription fees are the industry standard. That free model is the starting point for the pitch. A company can sign up for Engine, load their travel policy and employee list, and start booking trips without a contract negotiation or implementation project. From a CFO's perspective, there is no licensing cost, which simplifies the budget conversation compared to platforms that charge monthly per-user subscriptions or require revenue-based pricing agreements.

The booking itself covers the three primary categories of business travel: individual trips (one employee booking a flight, hotel, and rental car), group travel (coordinating lodging for teams, crews, or event attendees), and meeting spaces (office venues for offsites or client meetings). The platform integrates directly with 1,000,000-plus hotel properties worldwide, so inventory is comprehensive. Flights come from major carriers and regional airlines, and rental cars are available from all major brands. A traveler can search across all three categories simultaneously, which is different from portals that force separate searches for flights, hotels, and cars and then require manual coordination.

The cost savings mechanism works through two channels. First, negotiated rates: Engine has contracts with hotel chains, airlines, and rental companies that provide corporate rates lower than the published consumer rates. A traveler booking a Marriott property in Chicago through Engine gets the rate available under Engine's corporate agreement, not the rate a leisure traveler would pay through Marriott's website. Hotels and airlines give Engine these rates because Engine brings volume; an airline gets 500 bookings a month from Engine and prices accordingly. Second, rewards: Engine operates its own loyalty program that offers points or cash back for bookings, and those rewards stack with hotel loyalty programs. A frequent traveler could accumulate Engine Rewards on every trip, earn hotel points from the Marriott stay, and airline miles from their flight all in a single trip. The rewards compounds; a traveler taking 20 trips a year could generate substantial credits. The platform also offers an optional Engine X Card that provides up to 10 percent cash back on Engine bookings, adding another layer of savings on top of negotiated rates. The card works whether a traveler uses Engine's default payment method or supplies their own corporate card.

The savings are significant enough to be quantified. Engine states that customers save an average of 26 percent on travel costs, which is a specific claim grounded in customer data. That savings comes from the negotiated rates (typically 15 to 20 percent below consumer rates), plus compliance with company policy (less frequent booking of premium options or high-rate properties), plus the rewards programs that accumulate across trips.

For expense management and accounting, Engine offers DirectBill, a consolidated billing model where the company receives one monthly invoice instead of processing individual employee reimbursements. The invoice is organized by project or cost code, so it integrates easily into accounting systems. This is a major administrative convenience: rather than each traveler submitting a receipt, a manager approving it, and the finance team processing reimbursement, the company receives one bill and pays it monthly. The monthly invoice lists every booking by traveler, property, and amount, making reconciliation straightforward. Real-time reporting dashboards allow finance teams and travel managers to see spending as it happens rather than waiting for a monthly statement. A travel manager can check the dashboard at any point to see how much the department has spent on travel month-to-date and track against budget.

The platform includes spend controls and policy enforcement. A travel manager can set rules about which hotels are approved, rate caps by destination, advance booking requirements, and other parameters. The system enforces these at the booking stage: an employee who tries to book a property outside the approved list or at a rate exceeding the cap sees that friction at the moment of decision, not after the fact. Policies can be segmented by employee level (executives might have higher rate allowances) or by project (a high-value client event might have relaxed standards). The rules engine is flexible enough to handle most organizational structures.

Support is available 24/7 and staffed in the US, which matters for companies with coverage in North American time zones. A traveler facing a flight cancellation, a hotel double-booking, or any other travel crisis can reach a support agent immediately without waiting for business hours or navigating a ticketing system. Support can rebook flights, negotiate with hotels about room rate issues, and handle travel disruption logistics in real time.

Group travel coordination is built in, which is important for companies that regularly hold team gatherings, training events, or corporate retreats. Instead of a travel manager or executive assistant manually tracking room blocks across multiple properties, the platform can coordinate bookings for 9 or more people in a group or stays of 28 or more days, simplifying the logistics. Engine's white-glove service is available for large groups and can include dedicated coordination and site selection assistance. A company planning an off-site for 50 people can let Engine handle property selection, rate negotiation, and booking coordination rather than doing it manually.

An optional add-on called FlexPro provides maximum cancellation flexibility: employees can cancel hotel bookings up until noon on check-in day and receive refunds for unused nights regardless of the hotel's cancellation policy. This transforms a non-refundable booking into something as flexible as the employee prefers, at a cost lower than the retail cancellation penalty. For organizations where travel plans are frequently adjusted, FlexPro reduces the financial risk from cancellations. A $150 hotel night normally booked non-refundable for $100 a night can be flexible with FlexPro for perhaps $5 to $10 additional cost per night.

Engine is suited to organizations where the goal is to reduce travel costs and administrative overhead simultaneously. The free platform model lowers the barrier to adoption; there is no contract negotiation or implementation cost, so a company can try it quickly and measure results. The savings mechanism is transparent: negotiated rates are visible on the booking screen, rewards programs accumulate for every trip, and the DirectBill model reduces accounting overhead. For growing companies or startups where every percentage of spend savings matters and where administrative overhead is a constraint, Engine's model is appealing.

The trade-off is that Engine is somewhat less feature-rich than enterprise platforms like Navan or Concur. There is no integrated expense reporting for non-travel items (meals, ground transportation), no AI receipt processing, and no deep integration with HR or accounting systems beyond DirectBill. Engine focuses narrowly on travel booking, expense billing, and compliance, not the broader spend and expense workflow.

Engine is a good choice for companies with predictable travel patterns where the negotiated rates and rewards programs deliver meaningful savings, for organizations that want to avoid subscription licensing costs, and for teams where administrative simplicity is valuable. If your company's dominant travel expense is hotel and flight costs and you want a low-friction booking platform with a free tier, Engine delivers that effectively.
